PF Claim Rejected: The Common Reasons and the Fix for Each
Most PF claims are rejected for a fixable reason: a profile mismatch, the bank account, a missing exit date or an eligibility rule. How to read the reason and fix each.

A PF claim that comes back rejected almost always names a specific problem: your name or date of birth doesn't match Aadhaar, the bank account couldn't be verified, your employer never marked your date of exit, or the claim asks for something the scheme doesn't yet allow. Each has a fix you can make online, and once it is done you file a fresh claim.
Start by reading the exact reason, because the fix depends on it.
Where to read the rejection reason
- Log in to the EPFO Member Portal with your UAN.
- Open Online Services > Track Claim Status. Each claim shows its status and, for a rejected one, the reason recorded by the office.
- The passbook portal and the UMANG app show claim status too, and EPFO sends an SMS to your registered mobile.
Under the EPF Scheme, 2026, in force since 29 June 2026, EPFO must tell you about any deficiency in a claim within 20 days of receiving it, and settle a complete claim within 20 days (paragraph 54). Note the date you filed. If you hear nothing within that time, you have grounds to complain.
The reasons and the fix for each
| Rejection reason (as it usually reads) | What it means | Fix |
|---|---|---|
| Name, date of birth or gender doesn't match Aadhaar | Your UAN profile and Aadhaar differ | Correct the profile through a Joint Declaration on the member portal |
| Aadhaar not seeded or wrong Aadhaar | UAN isn't linked to your Aadhaar, or to someone else's | Seed or correct Aadhaar through the member portal; the employer approves |
| Bank account not verified, inactive, or name mismatch | The account on your UAN can't receive the money | Update the bank account under KYC and wait for the bank to verify it |
| Date of exit not available | Your former employer never marked you as having left | Ask the employer to mark the exit; then file the final claim |
| Not eligible: membership or waiting period not complete | The claim came too early under the scheme | Wait until you qualify, or claim a partial withdrawal you are eligible for |
| Amount exceeds the eligible balance | You asked for more than the scheme allows | Claim within your Eligible Member Balance (balance minus 25%) |
| Contributions not received for some months | The employer hasn't paid PF for recent months | Ask the employer to pay; complain if they don't |
| Claim already settled or another claim pending | A duplicate | Wait for the pending claim, or check the passbook for the earlier payment |
The sections below explain each fix.
Profile mismatch with Aadhaar
This is the most common cause. A missing middle name, a different spelling, or a date of birth that differs from Aadhaar is enough. EPFO now verifies identity against Aadhaar, so the UAN profile has to match it.
Fix it with a Joint Declaration on the member portal: you request the correction, your employer approves it online, and the PF office processes it if needed. EPFO simplified this process in January 2025. Since August 2025 the same facility can seed Aadhaar for the first time or replace a wrong one. If the details match exactly, the employer can seed it directly. Where the employer is not available, you can take the request to the Public Relations Officer at your PF office, who can file it online for you.
Bank account problems
The account on your UAN must be active, in your name, and verified. Closed accounts, changed IFSC codes after bank mergers, and joint accounts where you aren't the first holder all cause trouble.
Update it under Manage > KYC on the member portal. Since April 2025 you no longer need to upload a cancelled cheque or passbook image, and your employer no longer has to approve the bank details. The bank verifies the account, and once the KYC shows as verified you can claim again.
Date of exit missing
A final settlement needs your date of exit from the last employer. If the employer didn't record it, the claim fails. Ask the employer's HR to mark your exit on the EPFO employer portal. Check your service history on the member portal to confirm it has been updated before you reapply.
Eligibility rules under the 2026 scheme
Claims also fail because they arrive before the scheme allows them:
- Partial withdrawal needs 12 months of total membership. A member who leaves before 12 months can still withdraw up to the eligible balance.
- Each partial withdrawal must leave a minimum balance of 25% of your total contributions and interest in the account. Ask for more and the claim fails. See how much PF you can withdraw.
- Counts per purpose: education up to 10 times, marriage and housing up to 5 times each during membership, and special circumstances up to twice in a financial year. The count started afresh on 29 June 2026.
- Final settlement after leaving a job, other than on retirement or the other listed grounds, is allowed only after 12 months without EPF-covered employment. The old two-month wait no longer applies. Women resigning to get married are exempt from the wait.
- The pension part (EPS withdrawal benefit) now has its own wait under the Employees' Pension Scheme, 2026: if you leave before 10 years of service, it becomes payable only 36 months after your last contribution was due. See EPS withdrawal now has a 36-month wait.
Old member IDs and missing service
If your earlier jobs are under separate member IDs that were never transferred, the claim sees only part of your service and balance. That can fail an eligibility check or pay out less than you expect. Transfer the old balances first, through the online transfer claim (Form 13) on the member portal. The Transfer Certificate is now downloadable from the member portal too. See PF transfer on a job change and two UANs and old PF accounts.
Employer hasn't paid contributions
EPFO can pay only what has been credited. If your passbook is missing months, the employer hasn't deposited them. Ask HR for the challan details. If the employer doesn't pay, raise a grievance against the establishment. If the contributions are there but the year's interest isn't, that is a different issue: see why EPF interest isn't in your passbook yet.
Rejected again for a new reason?
Some members see one claim rejected after another, each time for a different reason. Paragraph 54 of the scheme requires EPFO to tell you about a deficiency within 20 days of receiving the claim, so a defect that could have been raised the first time is worth pointing out. Quote each rejection and its date in a grievance.
How to complain
- File a grievance on EPFiGMS with your UAN, the claim ID, the rejection reason and what you have since fixed.
- Keep screenshots of the claim status, the corrected KYC and the passbook.
- If a complete claim isn't settled within 20 days without sufficient cause, paragraph 54 of the scheme makes the Commissioner liable for the delay, and penal interest of 12% a year on the benefit amount may be charged. Mention the dates in your grievance.
If you can't file online for a technical reason, the scheme lets you send a physical claim through your employer, who must forward it within five days after verifying it.
A note on tax
A PAN missing from your UAN does not reject a claim, but TDS on a taxable final withdrawal is then deducted at a higher rate. Add your PAN under KYC before you claim. A final withdrawal before five years of continuous service (counting transferred service) is usually taxable, and EPFO deducts 10% TDS on it when the payment is ₹50,000 or more. See Is PF withdrawal before 5 years taxable?.
FAQ
How long after a rejection can I file again?
You can file a fresh claim as soon as the cause is fixed. There is no waiting period for refiling, but the eligibility rules (12 months of membership, or 12 months out of work for a final settlement) still apply.
My name in UAN is spelled differently from Aadhaar. Will the claim fail?
Very likely. Correct the profile through a Joint Declaration on the member portal before you claim.
Do I still need to upload a cheque for a PF claim?
No. EPFO removed the cheque or passbook upload in April 2025. Your bank account must be seeded and verified under KYC.
My company has shut down. Who approves my Joint Declaration or exit date?
Take the request to the Public Relations Officer at the PF office that covers the establishment, who can file it online for you.
How long does EPFO have to settle my claim?
Twenty days from receiving a complete claim, under paragraph 54 of the EPF Scheme, 2026. A deficiency must also be told to you within 20 days.
